EVENT STAFFING: PLAN BEFORE THE DOORS OPEN

Build a coverage plan around arrival times, peak demand, and clear reporting instructions.

READ THE GUIDE

List each role and zone, then map coverage to guest arrival, service peaks, and closing duties. Separate setup and breakdown from the main event shift.

Share the venue address, parking and entrance, dress code, check-in contact, break plan, and task-specific training requirements.

Agree on the roster deadline, attendance check-in, escalation contact, and approval process for extra hours. After the event, review attendance and supervisor feedback before the next booking.

WAREHOUSE SHIFTS: DEFINE THE WORK CLEARLY

Give recruiters a shift-by-shift picture of the duties and skills your operation requires.

READ THE GUIDE

Specify the shift, worksite, essential duties, physical demands, and any required equipment qualifications. Describe experience requirements precisely.

Identify who delivers site-specific training and confirms authorization before equipment use. Share PPE, safety procedures, and the incident-reporting process before work begins.

Track requested versus filled shifts, attendance, and early assignment feedback. Discuss schedule changes promptly so the staffing plan stays aligned with demand.

MULTI-LOCATION HIRING: ONE PLAN, LOCAL DETAILS

Use a consistent staffing brief while documenting the differences at each worksite.

READ THE GUIDE

Create one assignment brief with common role requirements, reporting expectations, and success measures. Add a separate location sheet for addresses, shifts, access, supervisors, and training.

Name a central decision maker and a local contact at every worksite. Confirm service coverage, availability, and local requirements before committing to a launch date.

Review each location’s open roles, fill status, attendance, approved hours, and feedback on a regular cadence. Resolve missing time approvals before the invoice cycle.

UNDERSTANDING A STAFFING BILL RATE

Compare quotes with a clear view of hours, scope, and the charges included.

READ THE GUIDE

Ask which costs are included in the bill rate and which are billed separately. Clarify overtime, holidays, minimum shifts, screening, travel, and cancellation terms.

Calculate regular labor and overtime separately using the quoted rates, then add other agreed charges. Compare the same number of workers, hours, and assignment weeks across options.

Pay rate and bill rate are different figures. Markup uses pay rate as its base; gross margin uses bill rate. Neither is net profit. Use the hiring cost worksheet above and confirm the final scope in writing.
