Office Administrator

Under the direct supervision of the Chief Operations Officer, the Office Administrator will be responsible for but not limited to:

  • Coordinating office activities and operations to secure efficiency and compliance to company policies
  • Supervising administrative staff and dividing responsibilities to ensure performance
  • Keep stock of office supplies and place orders when necessary
  • Assist in bookkeeping duties when necessary
  • Assist in mentoring office assistants
  • Supervise administrative staff and divide responsibilities to ensure performance
  • Coordinate office activities and operations to ensure efficiency and compliance to company policies
  • Oversee on-time execution of internal and client meetings
  • Assist in overseeing on-time project plan execution internally as well as with clients
  • Assist in the delivery of regularly scheduled client update reports
  • Oversee the maintenance the notebook system
  • Manage agendas/travel arrangements/appoints, etc. for the upper management
  • Order office supplies and research new deals and suppliers + maintain inventory
  • Maintain appropriate interpersonal relationships with employees, partners and clients
  • Book travel arrangements, create/coordinate travel documentation and notebooks
  • Provide general support to team members and visitors whenever necessary


  • Proven experience as an Office Administrator, office assistant or relevant role
  • Good understanding of office management and general office equipment (telephones,
  • copy machine, etc.)
  • Demonstrable ability to multi-task and adhere to deadlines
  • Well-organized with a customer-oriented approach
  • Excellent knowledge of MS Office, marketing computer software and online applications
  • Excellent communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Excellent written and verbal communication skills
  • High School diploma, BSc/BA in office administration or relevant field is preferred
  • Attention to detail and problem solving skills
  • Typing skills with at least 50 WPM – a typing assessment will be required
  • Demonstrable ability to prioritize work
  • Must be a team player and adaptable
